What it is

What is accounting software for advertising agencies?

An advertising agency does not run one SKU. You run retainers, one-off films, media buys, and freelancer invoices in the same month. Accounting software for agencies has to bill per client and keep GST on the document, not in a side notebook.

TiBook is GST billing, parties, expenses, and books for Indian MSMEs. Agencies use it to invoice clients with SAC codes, record photographer and editor bills as purchases or expenses, and follow outstanding — Startup is free. Recurring retainers sit on Enterprise. We do not file GSTR-1 for you; your CA uses the invoices and reports.

TiBook does not generate GST e-invoice IRNs or e-way bills. Recurring invoices are on Enterprise. GST returns stay with your CA or the GST portal.

Why it matters

Why advertising agencies need accounting software

Manual books fail when three jobs, two freelancers, and GST share one month.

One client, many jobs

A brand can have a retainer, a film, and a print job in the same month. If the invoice does not name the job, accounts payable bounces it.

Freelancers bill after you already invoiced the client

If those costs never hit the same books as the client invoice, you cannot tell whether the campaign made money.

GST on services is easy to get wrong

SAC, place of supply, and intra- vs inter-state tax are not a calculator trick.

Outstanding lives in someone’s head

Collections need unpaid invoices, not a feeling.

How to

How to bill a campaign in TiBook

Six steps from a new agency login to an unpaid invoice you can collect.

    1

Set up the agency and service items

Create the company at app.tibook.in, add GSTIN, and add service items with SAC codes and a tax group (creative services are usually 18% — confirm with your CA).

    2

Add the client as a party

Add the brand or holding company as a customer with GSTIN. One party per bill-to entity; many invoices for many campaigns.

    3

    Send a quotation

Raise a quote with the campaign name in the title or line description. Share the PDF or public link. Convert to a sales invoice when the brief is approved.

    4

    Invoice the campaign

Create a GST sales invoice. Put the campaign or job code on the line, in notes, or as a custom field. There is no separate campaign object.

    5

    Record freelancer and vendor costs

Add photographers, editors, and media vendors as suppliers. Enter a purchase invoice or an expense, then payment out.

    6

    Collect and follow outstanding

Record payment in against the invoice. Use party-wise outstanding and reminders. Ask TiBook Agent who has not paid.

Product

What agencies actually bill in TiBook

1. Campaign-wise invoicing

Raise a GST sales invoice per campaign or a combined invoice with one line per job. Put the campaign name, PO, or brand code in the line, notes, or a custom field. Quotes convert when the brief is approved.

2. Client retainers

Duplicate last month’s invoice on any plan. Automated recurring is Enterprise (₹399/month).

3. Freelancer and vendor payments

Photographers and editors are suppliers. Purchase invoice or expense, then payment out.

4. Receivables and ageing

Outstanding is unpaid sales invoices. Payment in allocates. TiBook Agent can list who has not paid.

5. Expenses against a client

No project-costing module. Tag the supplier and write the campaign in the note.

6. GST, SAC, and the tax invoice

Service items carry SAC and a tax group. We do not file GSTR-1 or mint IRNs.

7. Bank, UPI, and cash on the same party

Record how the client paid. Allocate to open invoices.

8. Cloud access for the studio

Extra users on SMB. Signature image is not a DSC.

Features to look for in ad agency accounting software

TiBook matches the billing and GST items. It does not pretend to file returns or run the studio calendar.

  • Multi-client invoices with a job name on the bill

Campaign on the tax invoice, not only in a PM tool.

  • Flexible billing periods

Duplicate on any plan; recurring on Enterprise.

  • GST calculated on the document

SAC and tax groups. Confirm rates with your CA.

  • Receivables you can act on

Unpaid invoices, not a CRM pipeline pretending to be cash.

  • A path to GST filing — not fake filing

Invoices and reports. Filing stays on the GST portal.

  • Cloud without a dongle

Books in the browser beat a single shop PC.

Spreadsheet vs TiBook for an agency

Excel can hold a rate card. It cannot be the tax invoice, the outstanding, and the freelancer payable at once.
