How to

  1. 1Go to Billing & Spending β†’ Purchase β†’ Purchase Order (/voucher/purchase_order).
  2. 2Click Create and choose the supplier.
  3. 3Set PO date and expected delivery in notes if needed.
  4. 4Add items, quantities, and agreed rates. Tax can be shown for estimate.
  5. 5Add terms β€” payment days, delivery location, penalty clauses.
  6. 6Save and PDF the PO to email or WhatsApp the vendor.
  7. 7When goods arrive, create a purchase invoice against the same supplier and lines.

PO does not move stock

A purchase order is a commitment document. Purchase invoice (and goods receipt, if you use stock workflows) records what actually came in.

Reference the PO number on the purchase invoice notes so three-way matching is easy at month-end.
